7 AI proposal and follow-up tools for a small sales team
Written by Wanna AI. Checked on 17 Oct 2026, refreshed every 30 days. Wanna is our product and is in this list. Prices change; open each link before you decide.
Short answer. A proposal that goes out and is never followed up is a lost sale that nobody saw. This list is about that second step, not about writing the proposal. Some tools here track who opened the page, some draft the chase email, a few do both. The seven are alphabetical, not scored. We read each vendor's pages and ran none of them, except Wanna, which we know from the inside.
How we chose
- The vendor's own pages name tracking of an opened proposal or email, reminders, or a drafted follow-up.
- We read each pricing page on 17 Oct 2026. Where a page printed two prices, we print both and say which is monthly and which is yearly.
- PandaDoc and Pipedrive are not here: their pricing pages did not load for us.
The seven
| Tool | Tracking or drafting, from the vendor's page | Who it is for | Price and limits, from the vendor's pricing page, read 17 Oct 2026 | Honest minuses |
|---|---|---|---|---|
| Better Proposals | Tracking: notifies you when a proposal is opened and shows which sections were read. A "Nudge" screen shows who needs a follow-up | Freelancers and small businesses that send proposals | Starter 13 per user a month billed yearly, 19 monthly, 1 seat, 10 sends a month. Premium 21 yearly or 29 monthly, 50 sends. Enterprise 42 yearly or 49 monthly, unlimited sends. 14-day trial, no card. Nudge is 10 per user a month extra | Nudge is a paid extra. No AI-drafted follow-up on the page |
| Close | Both: email open tracking, automated follow-up outreach, and AI that drafts and rewrites emails | Teams that sell by phone and email | Per user a month, monthly or billed yearly: Solo 19 or 9, Essentials 49 or 35, Growth 109 or 99, Scale 149 or 139. 14-day trial, no card | Automated follow-up and AI email rewrite start at Growth. No proposal or quote sending on the pages we read. Calling and SMS are billed by use |
| Fyxer | Drafting: sums up calls and drafts the follow-up for you to review and send; reminds you of what you promised | People who chase clients by email | Free: 400 credits a month, no drafted follow-ups. Pro 49 a month, or 37 billed yearly, 3,000 credits. Team 99, or 64 billed yearly, 6,000 credits | Drafted follow-ups start on Pro. The page says both "14 day free trial" and "There's no free trial" for Pro. No open tracking or proposals on the pages we read |
| HubSpot Sales Hub | Both: email tracking, outreach sequences, and AI that can draft follow-up emails. Quotes are under Revenue Hub | Teams that keep their deals in HubSpot | Free tier. Per seat a month, "Starts at": Starter 20 (the page also shows 10 for new customers, for a limited time), Professional 100, Enterprise 175 as rendered; the page's inline data lists Enterprise at 150. The inline data calls its prices monthly, billed monthly | The product page does not map tracking or AI drafting to a single tier. Quotes need a Revenue Hub seat |
| Proposify | Tracking: notifies you when a proposal is opened, with time spent on each section | Sales teams and service firms | Build 49 per user a month, or 35 on yearly billing. Grow 325 a month, 5 seats. Scale 1,066 a month, 10 seats. 14-day trial, no card | Grow and Scale are billed yearly. A separate send table gives 10, 30 and 75 sends a month under other plan names, with overage of 0.30 to 0.75 per send. No reminders on the page |
| Qwilr | Tracking: proposal pages with a live link; notifies you when a buyer engages | Sales leaders and sales ops | Starter 35 per user a month billed yearly, 49 billed monthly. Growth 55, minimum 5 users. Scale 75, minimum 10 users. Growth and Scale are yearly only. 14-day trial, no card | The minimums do not suit a team of two to four. Analytics history is 60 days on Starter. AI features are on Scale only. Chasing is manual, from the notifications |
| Wanna | Drafting: writes letters and follow-ups for your OK; does not send proposals or track opens | A founder unsure of the next task | Free: plan, matches, first drafts. Starter 20 a month, 200 credits. Growth 49, 5,000 credits. Scale 149, 16,000 credits | Not a proposal tool: no documents, no open tracking. Sending is off for a new company until you turn it on (Trust). Early: 3 companies, 0 paying (live) |
By job
Seeing when a proposal is opened: Better Proposals, Proposify or Qwilr. A CRM that also drafts the chase: Close or HubSpot Sales Hub. A drafted follow-up after a call, from the inbox: Fyxer. Related lists: AI call assistants for sales, AI lead qualification tools and AI cold email tools. How to weigh any vendor: how to choose.
What Wanna is and is not
Wanna does not send your proposal or tell you who opened it. It reads your site, proposes the week's tasks and drafts letters, which wait for your OK (approve or autonomous). On the live page at 14:06 UTC on 17 Oct 2026: 3 companies of people, 0 paying, MRR $0, 19 tasks done in 7 days. That is a small base, and no follow-up case study is on record. What this list does not replace
It does not replace your own call to the buyer: a tool can tell you a page was opened, not why nobody replied. It does not replace reading every drafted follow-up before it goes out; we read pages and did not test the drafts. Open tracking is not a promise that the proposal was read. We did not review any vendor's data terms. See the limits of letting AI act for a company.
FAQ
What is the best AI tool for proposal follow-up? We do not rank them. The By job section sorts the six by task.
How do I know if a client opened my proposal? Better Proposals, Proposify and Qwilr notify you when a proposal is opened. Close and HubSpot track email opens.
Can AI write the follow-up email after I send a proposal? Close, HubSpot and Fyxer say they draft follow-ups. We read their pages, not their drafts, so read each one before it goes out.
How much do these tools cost? From 9 per user a month (Close Solo, billed yearly) to 1,066 a month for Proposify Scale, which includes 10 seats. HubSpot has a free tier. The table has each figure.
Does Wanna send proposals? No. It drafts letters for your OK and does not track opens. It is our product, so its minus is in the table.
How often is this list updated? Every 30 days, from the vendors' own pages.
