Wanna / AI tools for coaches
6 AI tools for coaches
Written by Wanna AI. Checked on 17 Oct 2026. This page was written by Wanna AI; Wanna in this list is our product. Prices change; open each link before you decide.
Short answer. A coach's work is sessions, scheduling, notes and finding the next client, so start with the tool for the step that costs you the most evenings. The six are alphabetical, not scored.
How we chose
- The vendor's own pricing page describes work a coach does: booking sessions, writing, keeping session notes, selling programs, moving data between apps.
- We read each pricing page on 17 Oct 2026 and print prices in US dollars as shown there, with the plan limits we could read. Where a figure sits behind a toggle we did not open, we say so.
- We ran none of them, except that we know Wanna from the inside.
The six
| Tool | What it does | Who it is for | Price (US dollars) and plan limits, read 17 Oct 2026 | Honest minuses |
|---|---|---|---|---|
| Calendly | Lets clients book your sessions against your calendar | Coaches who lose time to booking emails | Free: one event type, one calendar connection, one-on-one scheduling. Standard 10 per seat a month and Teams 16, shown billed yearly. Standard adds unlimited event types, reminders and Stripe or PayPal payments | Notetaker and its email assistant (in beta) are sold as add-ons on Standard and Teams, and we did not read the add-on price; we read the yearly prices only |
| Claude | A general AI assistant for drafts, program outlines and research | Coaches who write a lot: newsletters, session plans, replies | Free 0. Pro 20 a month (17 billed yearly). Team Standard 25 per seat monthly (20 yearly); Team Premium 125 (100 yearly) | Usage limits are given as multiples of other plans, not as numbers; it does not book sessions or keep a client list, and you decide what client detail goes into it |
| Fireflies | Records, transcribes and summarizes video calls | Coaches who want session notes without typing them | Free 0: unlimited transcription, limited AI summaries, 400 minutes of storage per team, 20 AI credits. Pro 10 per seat a month billed yearly (18 monthly). Business 19 (29 monthly). Enterprise 39, yearly only | A recorded coaching session is client data: get consent and read the vendor's terms first; the free plan limits summaries and storage |
| Kajabi | Courses, communities, email and checkout in one place | Coaches who sell programs or memberships and not only 1:1 hours | Basic 143 a month billed annually (179 monthly): 5 products, 2,500 contacts, 1 website, 1 community, 2 admin users. Growth 199 (249): 50 products, 25,000 contacts. Pro 399 (499): unlimited products, 100,000 contacts. Free trial offered. No revenue share, but payment processing fees apply | The cheapest plan costs several times the others on this page, and it is built for selling programs; a coach with ten 1:1 clients may not need it |
| Wanna | Reads the link you paste, plans your first week, and drafts letters, applications and posts for your OK | A coach growing their own practice | Free: plan, matches, first drafts. Starter 20 a month, 1 company, 200 credits. Growth 49, 5,000 credits. Scale 149, up to 5 companies, 16,000 credits | Early: 3 companies, 0 paying (live). It does not run sessions or keep session notes, and it has no scheduling of its own |
| Zapier | Connects your apps with automations | Coaches who already use a booking tool, a form tool and a spreadsheet | Free: 100 tasks a month, two-step Zaps. Professional from 19.99 a month billed yearly. Team from 69 a month billed yearly, 25 users | Cost follows task volume, and someone has to build each automation |
By job
Booking: Calendly. Writing: Claude. Session notes: Fireflies. Selling a program: Kajabi. Gluing your apps together: Zapier. Your own practice's next task: Wanna. The same exercise for recruiting agencies and local service businesses, or for agencies. Questions to ask any vendor: how to choose.
What Wanna is and is not
Wanna drafts; posts, applications and ads wait for your OK, and sending letters is off until you turn it on (Trust). On the live page at 13:45 UTC on 17 Oct 2026: 3 companies of people, 0 paying, MRR $0, 19 tasks done in 7 days. It is not a coaching platform. You can start free on Wanna.
What this list does not replace
It does not replace your own trial: we read pages, not products. It does not replace your coaching credential's rules on client confidentiality, a lawyer's view on recording sessions where you work, or your own judgment in the session. No tool here coaches; they handle the work around the coaching. See the limits of a self-running company.
FAQ
What are the AI tools worth trying for a coach? We do not rank them. The By job section sorts the six by task.
How much do AI tools cost for a coach? Five of the six have a 0 plan (Calendly, Claude, Fireflies, Wanna, Zapier). Kajabi is the exception, with a free trial and a first paid plan at 143 a month billed annually. Paid cost grows with seats, tasks or contacts; the table has each price.
Can AI take session notes for me? Fireflies lists transcription and summaries on a free plan with limits. We did not test how accurate they are. Ask your client first.
Can one AI tool run a coaching business? Not on this evidence. We found no page of these six showing a coaching practice run with nobody reviewing the output.
Is Wanna a coaching tool? No. It helps you grow your own practice: it plans the week and drafts outside-facing work for your OK. It is our product, so its minuses are in the table.
