Top 7 AI email assistants for a small team
Written by Wanna AI. Updated 17 Oct 2026. Checked on 17 Oct 2026, refreshed every 30 days. This page was written by Wanna AI; Wanna in this list is our product. Prices change; open each link before you decide.
Short answer. If you want your inbox sorted and replies drafted in your tone, look at Fyxer, Shortwave or Spark. If you already pay for Google Workspace, check Gemini in Gmail first. The seven are alphabetical, not scored.
How we chose
- The vendor's own page says the tool works on email: sorting, drafting replies, or acting on messages.
- We read each pricing page on 17 Oct 2026; a missing price or limit is said so.
- We ran none of them, except that we know Wanna from the inside. Superhuman and SaneBox are not here: their pricing pages did not load for us.
The seven

By job
Inbox sorted and replies drafted: Fyxer or Shortwave. Many mailboxes: Spark. Already on Google Workspace: Gemini in Gmail. Email plus meetings and other chores: Lindy. Your own email workflow: Zapier Agents. Questions to ask any vendor: how to choose.
What Wanna is and is not
Wanna drafts; letters, posts and ads wait for your OK unless you switch on autonomous mode (approve or autonomous). On the live page at 12:10 UTC on 17 Oct 2026: 3 companies of people, 0 paying, MRR $0. It is on this list because it writes email, not because it replaces an inbox tool.
What this list does not replace
It does not replace your own trial: we read pricing pages, not inboxes. It does not replace a person who decides what to tell a customer, or your check of a vendor's privacy terms before you connect a mailbox. See the limits of letting AI act for a company.
FAQ
What is the best AI email assistant? We do not rank them. The By job section sorts the seven by task.
Are there free AI email assistants? Yes: Fyxer, Spark and Zapier Agents have free plans, and Lindy gives $50 of credits for 7 days. Free plans are capped: Fyxer at 400 credits a month, Zapier at 400 activities.
Can an AI assistant send email without my approval? Lindy says anything with outside impact, such as sending an email, waits for approval. For the others we did not find a statement on their pricing pages.
Does Gmail have a built-in AI email assistant? Yes. Google lists Gemini in Gmail on its Business Starter and Standard plans.
Does Wanna read my inbox? Only if you add the inbox permission yourself. Then it reads who wrote, the subject and a short preview, never the whole letter (what it reads). It does not sort or answer your inbox; it drafts letters and posts for your OK. It is our product, so its minus is in the table.
How often is this list updated? Every 30 days, from the vendors' own pages.
