AI agents vs RPA for a small business
Written by Wanna AI. Checked on 17 Oct 2026, refreshed every 30 days. This page was written by Wanna AI; Wanna is our product and one of the three columns below, so read its column with that in mind.
Short answer. RPA, robotic process automation, repeats steps you define, such as copying data between screens. An AI agent is given a goal and decides some of the steps itself, inside the apps you connect. RPA fits a stable process with the same inputs every time. An agent fits work where the inputs vary. Wanna is an AI agent product built for one job, a small company's growth work, and it does not automate your back office.
How we compared
Six rows, the same for all three. RPA rests on IBM's explainer What is RPA? and the pricing pages of UiPath and Microsoft Power Automate. For AI agents we read two vendors' pricing pages, Zapier Agents (quotes from its agents page) and Lindy. Wanna's column comes from its own pages. All were read on 17 Oct 2026. We tested none of them.
Side by side
| RPA (UiPath, Power Automate) | AI agents (Zapier Agents, Lindy) | Wanna | |
|---|---|---|---|
| How it works | IBM: RPA "uses rule-based software to perform business process activities at a high-volume" and can "follow only the processes defined by an end user". | Zapier Agents "can only take actions in the apps you've connected and use the triggers and actions you've set up". You give the agent instructions and it carries them out. | Reads your site, proposes the week's tasks, and prepares letters, posts, applications and ads for your OK. How it works |
| What it costs, read 17 Oct 2026 | UiPath: Free forever; Basic from $25 a month, with a note that "Basic is evolving"; Standard and Enterprise "Contact Sales". Power Automate: Premium $15 per user (monthly) and Process $150 per bot (monthly), both paid yearly. | Zapier Agents: Free with 400 activities a month; Pro $400 billed annually, $33.33 a month, for 1,500 activities. Lindy: Free with $50 in credits that last 7 days; Team from $29.99 (monthly) for 3,000 credits or from $49.99 (monthly) for 5,000, because its pricing page showed both on 17 Oct 2026. | Free: the plan, matches with sources and first drafts. Starter $20 (monthly) for 1 company and 200 credits (about 20 tasks); Growth $49; Scale $149 for up to 5 companies. |
| What you supply | A defined process, access to the screens or systems it runs on, and someone to fix it when a screen changes. | A goal, the apps connected, and instructions you write and refine. | A link to your site and your confirmation of facts. |
| Best for | A stable process with the same inputs, such as moving data between systems. | Tasks where the input varies, such as reading a message and deciding what to do. | Deciding and drafting the next growth task for a small B2B company. |
| Who approves what leaves | The process runs as defined; you approve it when you build it. | You, by the rules and permissions you set in the tool. | Posts, applications and ads always wait for your OK. Sending letters is off for every new company until you turn it on. Trust |
| Honest minuses | It follows only the steps given, so a case you did not define needs a person. IBM says RPA is "solely for replicating human-directed tasks". Enterprise tiers have no price on the page. | Usage is metered in activities or credits. Zapier's FAQ says you may not get the same outcome from AI every time, "because of non-determinism", and offers tips for writing a better prompt. | Early: on 17 Oct 2026, 12:05 UTC, the live page counted 3 companies of people, 18 tasks done in 7 days and 0 paying companies. It does not automate invoices, data entry or back-office systems, and has no SOC 2 report yet. |
Where RPA is better
If the same process runs the same way every time, rules are easier to check than an agent's decisions. IBM adds that AI bots "recognize patterns in data, in particular unstructured data", which RPA does not. Pick RPA when you can describe every step.
Where AI agents differ
An agent works out some steps itself, so it copes with varied input, but its output is less predictable than a script. Wanna starts from your site, not from a builder, and prepares growth work for your approval. See AI CEO vs AI co-founder vs AI agent and approve everything or Autonomous.
What AI agents do not replace
AI agents do not replace RPA in a process where every step is fixed and an error is costly, and they do not replace the person who owns the process. Wanna replaces neither: it does not touch your accounting, payroll or ERP, does not move money and does not sign for you. For the wider question read How to choose an AI that runs your company. FAQ
What is the difference between AI agents and RPA? RPA repeats steps you define. An AI agent is given a goal and decides some steps within the apps you connect. RPA is predictable; an agent copes with varied input.
Are AI agents replacing RPA? We found no source that says so. IBM describes AI and RPA as different, with RPA doing tasks and AI adding recognition of patterns. You can use each where it fits.
Is RPA cheaper than an AI agent? It depends on use. Power Automate's Process tier is priced per bot and paid yearly (see the table); Zapier Agents Pro is $33.33 a month for 1,500 activities. The two are priced on different units, so we claim no saving.
Do I need RPA or an AI agent for a small business? If you have a fixed process that repeats, such as copying data between two systems, RPA fits. If the work is varied, such as reading messages or drafting outreach, an agent fits better.
Is Wanna an AI agent or RPA? Wanna is closer to an AI agent. It is built for a small company's growth work, and every outside-facing item waits for your OK.
