Wanna / AI calendar assistant for small business

AI calendar assistant for small business

Written by Wanna AI. Updated 19 Oct 2026. Prepared with AI. This page describes how Wanna runs a calendar for the owner of a small business: the event kinds, the rules and one sample day. The names and companies in the samples are made up.

Status, 19 Oct 2026: calendar connection is rolling out. Today a Google Calendar connected in Wanna lets the assistant add an event you asked for, and that is a separate permission with its own button. The calendar operator described below (prep notes, holds, reminders with the text ready, the done mark) turns on account by account as it is finished, and /trust changes in the same step. Outlook is not available yet.

In short. Your calendar becomes your one screen for "what do I do, and when". Anything that needs you at a given time (a meeting, the prep for it, a message to send, a decision) is an event, not a chat line. You open the day and see who you talk to, what to show, what to send and what is already done.

The problem

In a business the owner runs, the calendar is where the day breaks. A customer says yes to a call and the time goes back and forth by email. The meeting lands, but the notes for it sit in another tab, or in your head. A follow-up you promised waits in a chat until you remember it, and by then the moment has passed. Nobody sees which reminders were actually done.

A calendar app shows the time. It does not prepare you, it does not hold the slots you offered, and it does not write the message you need to send at 4 PM.

What Wanna does in a day: five kinds of events

The operator puts five kinds of events on your calendar. Each kind has a fixed title shape, so you and the software both know at a glance what an event is. The samples below are for an owner called Sam.

KindSample titleWho sees it
MeetingIntro call: Maya Chen (Brightline Dental) + SamYou and your guest

Meeting. The event your guest receives. Its description is neutral and safe for the guest to read: one sentence on the purpose, two or three agenda points, and the time in the guest's zone and yours. Never your notes, never a price.

Prep note. A private twin of the meeting, at the same time, with no guests, shown as free so it takes no time from your day. It reminds you 30 minutes before the call. Inside: who the guest is in two lines, the goal of the call, what to show (with the links attached), what to ask, open risks, and a "Missing" list. Twelve hours before the call Wanna checks that every link and file named in the note opens. Two hours before, it checks the final things: the time still matches what the guest confirmed, the guest has not declined, the video link works. The result goes into the note as one line.

Reminder, text ready. When something must go out at a set time, Wanna puts a short private event on your calendar with the complete text inside: To, Subject and the whole message, or the call script, or the link to the document to sign, plus the send window and why now. It reminds you 10 minutes before. You read, you send.

Hold. When Wanna offers a guest two or three times, it holds each offered slot privately so nothing else lands there. The hold says what was offered and when it goes away: when the guest picks another slot, says no, or does not answer within a few days. When the guest picks, the hold becomes the meeting, never a second event next to it.

Done โœ…. Once you sent the message (or said "yes, send it"), the same reminder is renamed with a โœ… and its description says when it went, from which account, in which thread, and what comes next. A draft you turned down is marked "Do not send" and left in place. After a reminder's time has passed, it does not stay without one of the two marks: Wanna asks you once, then lists it in the next day's summary.

A sample day

Morning: you ask "who do I have today?" and get the answer from the calendar itself, in time order, in three lists: meetings (each with the guest, whether the invitation was accepted, and one line from the prep note), reminders, and your own blocks.

A guest who asked for a call picks Thursday 2:00 PM from the slots offered. The hold becomes the meeting (the invitation goes out after your yes), the private prep note appears at the same time, and the other holds for that guest are removed.

The guest asks to move the call. Wanna reads that hour on your calendar. If it is free, the meeting and its prep note move together, the guest gets a confirmation in the same email thread, and the holds from the old offer go away. If it is busy, Wanna asks the guest for two or three windows of their own and moves nothing.

After the call: a follow-up is due within 60 minutes, so a reminder with the text ready is already on your calendar. You send it, and the event turns โœ….

Privacy: what the operator never does

  • Your prep stays private. Notes, prices and the "Missing" list never go into an event that has guests. They live only in the prep note, which has no guests.
  • No notifications from private edits. Creating or changing a prep note, a reminder or a hold sends nothing to anyone. Only a guest meeting notifies the guest.
  • It never touches your other events. An event with guests that Wanna did not create is left alone, unless you agreed to move that exact event. Your own blocks are never covered.
  • It reads only what it is about to change. Before any write it reads that window of your calendar, and after the write it reads it back. It does not browse the rest of your calendar.
  • Nothing reaches an outside person without your yes. An invitation counts as a letter: it waits for your OK. The only messages that go without a new OK are confirmations and replies about a move or a cancel, in a thread the guest already opened.
  • History lives in the event. Every change is written into the event the same minute: what changed, when, and why.

What Wanna keeps for a connected calendar is encrypted and bound to your company, and you can disconnect it at any time. The full text is on /trust.

How to start

  1. Start on /hello: paste your site (no site? say what you do in one line) and answer a few questions about the business. No sign-up for that first step.
  2. Proactive mode: the assistant speaks first. It asks about the business and brings up the connections your work needs, one at a time, each with why.
  3. After you pay, connect your calendar in Connections with one button. Calendar connection is rolling out now, Google Calendar first.
  4. Tell the assistant your time zone, the hours guests may be offered and the blocks it must never touch. The defaults are weekday working hours and a 10-minute gap between meetings.

FAQ

What is an AI calendar assistant for a small business? It is software that runs the owner's calendar like an assistant would: it books meetings, prepares a private note for each call, puts reminders on the calendar with the message already written, and marks each one done once it is sent.

Does Wanna book meetings with my customers by itself? It offers times and holds them, but the invitation waits for your yes. Only confirmations and replies about a move or a cancel, in a thread the guest already opened, go without a new OK.

Will my guests see my prep notes? No. The prep note is a separate private event with no guests. The meeting your guest sees has a neutral description only.

Does Wanna change my other events? No. It never touches an event with guests that it did not create, unless you agreed to move that exact one, and it never writes over your own blocks.

Which calendars work? Google Calendar is the first. Calendar connection is rolling out now; Outlook is not available yet.

Is the calendar operator live today? It is rolling out. Today a connected Google Calendar lets the assistant add an event you asked for. The prep notes, holds, reminders with the text ready and the done mark turn on account by account.

Wanna is an AI team for an owner-run business: it does the work and brings you only what needs your yes. Start on /hello, or right here.
